Step 1: Preparing your Excel file

To ensure a smooth import, your Excel sheet needs specific standard headers. Create a new sheet with the following columns:

Step 2: Exporting as CSV (Crucial Step)

Most browsers cannot read proprietary Microsoft Excel (`.xlsx`) files directly for security and complexity reasons. You MUST save your file as a CSV.

How to save as CSV in Excel:

  1. Go to File > Save As.
  2. Choose the location to save.
  3. In the "File Format" dropdown, select CSV UTF-8 (Comma delimited) (*.csv).
  4. Click Save.

Using "CSV UTF-8" ensures that special characters (like accents in names) are preserved correctly.

Step 3: Generating the Codes

Now that you have your clean CSV file, the rest is easy.

  1. Go to the Bulk vCard Generator.
  2. Drag and drop your CSV file into the upload box.
  3. Map your columns: The system will try to guess which column is "Phone" and which is "Email", but you should double-check.
  4. Click "Generate Preview" to see the first QR code.
  5. If it looks good, click Download All to get a ZIP file containing labeled images for every employee.

Common Mistakes to Avoid

  • Uploading .xlsx files: The generator only accepts .csv files. See Step 2!
  • Missing Country Codes: For phone numbers, always include the country code (e.g., +1 for USA) to ensure the phone knows how to dial.
  • Mixed Columns: Ensure every row follows the same structure. Don't put an email in the phone column.
